Day of Coordination
Pre-wedding
- Unlimited communication
- Two meetings to go over details (upon booking and 1 month before the wedding)
- One venue walkthrough
- Vendor Referrals
- Review all venue and vendor contracts
- Reminder of payment due dates
- Rehearsal coordination
- Detailed day of timeline creation and distribution to all necessary parties
- Assistance with floor plan and layout
- Wedding
- Point of Contact for the venue, vendors, master of ceremonies/officiant(s), wedding party, guests
- Coordinating DJ/MC and other people regarding the ceremony and reception flow and key moments (cake, toasts, dances, etc.)
- Helping guide the bride and groom from one moment to the next
- On-site up to 12 hours
- Greet vendors, wedding party, & VIP guests
- Provide wedding day “emergency kit”
- Oversee ceremony and reception site set-up (4 hours a day of or before), tear-down, clean-up
- Placement of various items that may not be handled by other vendors such as menus, programs, place cards, guest books, favors
- Distribute final payments and gratuities to vendors as necessary
- Distribute thank you’s or specific gifts
- Ensuring end of event arrangements are made for items such as guestbooks, gifts, toasting flutes, cake cutters/toppers, etc.
- Coordinate and confirm arrival and departure times with vendors
- Confirm rental item quantities
