Day of Coordination

Pre-wedding

  • Unlimited communication
  • Two meetings to go over details (upon booking and 1 month before the wedding)
  • One venue walkthrough
  • Vendor Referrals
  • Review all venue and vendor contracts
  • Reminder of payment due dates
  • Rehearsal coordination
  • Detailed day of timeline creation and distribution to all necessary parties
  • Assistance with floor plan and layout
  • Wedding
  • Point of Contact for the venue, vendors, master of ceremonies/officiant(s), wedding party, guests
  • Coordinating DJ/MC and other people regarding the ceremony and reception flow and key moments (cake, toasts, dances, etc.)
  • Helping guide the bride and groom from one moment to the next
  • On-site up to 12 hours
  • Greet vendors, wedding party, & VIP guests
  • Provide wedding day “emergency kit”
  • Oversee ceremony and reception site set-up (4 hours a day of or before), tear-down, clean-up
  • Placement of various items that may not be handled by other vendors such as menus, programs, place cards, guest books, favors
  • Distribute final payments and gratuities to vendors as necessary
  • Distribute thank you’s or specific gifts
  • Ensuring end of event arrangements are made for items such as guestbooks, gifts, toasting flutes, cake cutters/toppers, etc.
  • Coordinate and confirm arrival and departure times with vendors
  • Confirm rental item quantities
